Default Notifying receptionist of an appointment

When I schedule an appointment is there a simple way that I can notify our
receptionist of the appointment so that she is expecting a guest at the front
door?

Ideally, I would like to notify her without adding this appointment to her
calendar. I just want to give her a heads up that a guest will be arriving
for the scheduled appointment.

Send a task with reminder? But really, why not just open up his/her calendar
and put an entry expecting your visitor?
