Default Two questions, how do I get a New Avery template installed and why is the Propagate Labels button grayed out?

In Word 2003.

I'm trying to create Avery 5027 labels.
They're not in the list so I don't loaded the template from Avery's website.
I attached a data source, added the fields I wanted to the labels.
When I click the "Mail Merge Recipients" button, all my data is there.
Now I want to propagate the rest of the labels.

Is there some special setting this document needs turned on so it see itself
as a merge document?

I need to know how to use an existing template like the one I downloaded
from Avery's site or now how to add new templates into Word so I can choose
it from the list when I do a mail merge.

What am I missing???

Thanks

Kelvin

In this case what you get from Avery is a Word .doc document, not a Word
template which would be a .dot file.

Is there some special setting this document needs turned on so it see

itself
as a merge document?

When you connect it to the data source, by default Word sets it up as a
"Letter" type merge main document, which means that the "propagate
labels" facility is not available. You need to set it up to be a Labels
type merge main document in order to enable that facility.

One way to do this is to enable the Mail Merge toolbar in
View-Toolbars, click the first button, and select the Labels option.
When you do, you'll see the dialog box that asks for your label
type/layout. Because you have already set that up, click Cancel and you
should be OK.

I need to know how to use an existing template like the one I downloaded
from Avery's site or now how to add new templates into Word so I can

choose
it from the list when I do a mail merge.

In this case what I would probably do is
a. open the .doc you downloaded from Avery
b. set it to be a Labels type mail merge main document using the
method I just described. Don't attach a data source or insert fields
c. use File-Save As and select the file type Document Template. Word
should alter the folder it uses to save to be your Templates folder.
d. Close

Then you can use Word File-New, then click "On my Computer..." in the
Task Pane where you should see the template. Select it, ensure "Create
New Document" is selected, then click OK. You should get a new .doc in
the usual way. After that, the template may be listed under Recently
used templates. But it all depends how you prefer to work.

Also, Word 2003 was changed at a certain point so that you may get an
irritating SQL-related message when you create the document, even though
you have never attached a data source. Just "get through it" !

If you want to save your mail merge main document with field codes
already present and propagated, and/or with the data source attached,
you can save that as a template too. But be careful about leaving the
data source attached - you /may/ find that with some types of source it
can cause difficuties. You can detach the data source, by changing the
Merge Main Document type to "Normal Word Document " using that toolbar
button, then change it back to Labels. All the actual fields will remain
in the document, bt you will lose the data source and sort/filter options.
