difficulty with a Word document
I am compiling a leaf atlas by entering scanned images of leaf drawings into
a word document. The document is by now 3 MB big, and I am on page 18, halfway. Suddenly half of the pictures are replaced by little squares and the message appears: "There is not enough memory or disk space to display or print the picture." My questions a 1. How do I restore the vanished images, and 2. How do I prevent this from happening again I have WIndows XP and use MS Word 2003 (Office professional); there are still several GB of free space on the computer. |

Have you tried working with a Master Document and Sub-documents? I
suggest search in Word help file and try to work with a trial document so that you know how this is done. The help file says: You can use a master document to set up and manage a multipart document, such as a book with several chapters.) contains links (link: Used to insert a copy of information created in one program into a Microsoft Word document while maintaining a connection between the two files. When the information changes in the source file, the changes are reflected in the destination document.) to a set of related subdocuments. Use a master document to organize and maintain a long document by dividing it into smaller, more manageable subdocuments. In a workgroup, store a master document on a network to share ownership of a document by dividing it into individual subdocuments. Hope this gives you a start. difficulty with a Word document
Ok. this may or may not sound like an easy solution, but here goes.
Don't ever drag and drop into Word unless you really know what you're doing. Word has this neat little feature that retains all the properties of the dragged item. (I learned this the hardway on a 273 page presentation) For example: Your word Doc is 12.5 KB. You drop in a 1 MB visio drawing, using drag and drop. Your word Doc is now +/- 1.12MB. Very quickly, my document became over 40 MB and I had to redo most all the graphics from scratch. My solution was to do the following: Export all the graphics I needed using the "save as" command to PNG files and save them on my desktop. Some things can't be done this way (like excel spreadsheets) but it works for most things. If you're using word 2007, I think you can right click on your existing graphics inside your document and choose "save image as" to save it to your computer. Then delete the large, hi-rez drawings from your document and replace them with your smaller versions. If you're designing something for print, you certainly don't need the 300-1200 DPI scanning capabilities available to your scanner. Saving them in a more manageable filesize/format will drastically reduce the file size of your Doc.
