Customize Outline Numbered List box question

Hi
I am reading the primer at

and I have done all that she says (starting even with a blank document
format) and I am setting my number levels.

She says: 3 Numbering for all lower levels.
For second and subsequent levels, indicate in the Previous Level Number box
whether you want to include the number from the previous level.

I am not entirely sure what she means here. I would think it would be
something to do with the numbering after 1.1.1 etc. By which I mean I would
have thought that it would control numbering when you get to a scheme like:

Chapter 1
1.1
1.1.1
1.1.2

Chapter 2
2.1
2.2
2.2.1
2.3
2.3.1
2.3.1.1

and so on.

But, if I try to make an entry in that space (let's say I am formatting
Level 5 and I pick Level 4 from that dropdown, then the Preview panel goes
nuts, and at level 5 I have something like 11.1.1..1 and the only way I can
override this again is by typing 1.1.1.1.1 in the Number Format field.

Can anyone enlighten me please?

If you want numbering like this:

1
1.1
1.1.1
1.1.1.1
1.1.1.1

then start by selecting the second (or, if you are using heading styles, the
fifth) pane in the Outline Numbered list gallery, which already has this
numbering applied.

Yes, I am using that template in the Customize numbers list, and I did reset
it before I started and I did reset my Heading one to No Style as in the link
that you sent me.
Chapter numbering based on Heading One SEEMS to be working fine. It's the
1.1, 1.1.1 that won't work. I have this:

linked the levels to the proper style: 1=1, 2=2 etc. At level 1 I inserted
the word Chapter before the number in the Number Format box. Works ok.

I really think the issue is something to do with the Previous Level Number
field. At Level 2 I pick 1,2,3 from the Number Style options and check the
Restart Numbering after Level box to be after Level 1. Pick Apply Changes to
Whole List option.
Now, I have the number 1, highlighted in gray, in the Number Format box, and
the Previous Level Number box is still blank. The Preview Panel for Level 2
also shows a single 1. I leave Restart At field to be 1 for all levels (could
be a mistake there, but I doubt it).

Now I am sure I have to put something in the Previous Level Number box,
otherwise if it doesn't know the previous level number it won't know what it
has to increment from. So, for the Level 2 setup I'll pick Level 1 as the
previous level. As of now, it's the only option.

Now it gets a bit interesting. A second 1 has appeared in the Number Format
field, both are gray highlighted, and there is no period between them. The
Previous Level field is STILL BLANK. So, I'll put a period between the two 1s
so I have 1.1
NOw the Previous level Box shows Level 1 and the Preview Panel shows 1.1

I do the same at Level 3. Previous Level =2, Restart after 2, Apply to whole
List, put a period between the two 1s and add another 1 so I have 1.1.1.

Same for Level 4. Previous level is level 3, Restart numbering after level
3, Apply to whole list, Start at 1. Interestingly, even tho I am now down to
level 4, I still only get two 1s in gray in the Number Format field, so this
time I have to split them with a . and add .1.1 so now I have 1.1.1.1 OK, OK,
apply

So now it looks like this
Chapter 1
1.1
1.1.1
2.1.1
1.2.1.1
2.2.1.1
Chapter 2
1.2
2.2
1.2.1
2.2.1
3.2.1
1.3.1.1

It sounds as if you've messed up the "previous level number." If you're not
seeing a gray box at Level 2 representing the Level 1 number, then click
before the Level 2 number and select Level 1 from the "Previous level
number" list. If you start from the pane I suggested, all these things
should already be set correctly; all you would have to do is type Chapter
before the 1 at Level 1 and link the levels to the appropriate styles (as I
said, if you choose the fifth pane, this is already done for you).

Well, I am definitely starting from the proper numbering pane, and I am
entering Chapter in Heading 1, and that seems to work (it is linked to style
Heading 1).

At Level 2 if I pick Style 1,2,3 then I get a single gray 1. If I then go
to the previous lLevel field and pick previous level = 1, then I get a second
gray 1, so I put a period between them and in the Preview pane I get 1.1 for
Heading 2. BUT, if I go back and click on Level 2 after setting Level 3, the
Previous Level field is BLANK. Surely it should show Level 1?

Now, if I go to level 3 and pick Number Style 1,2,3 I again get a single 1.
I pick Previous Level = 2 and I get 11 (no period). So I add a period between
them and add .1 so the preview pane shows 1.1.1. BUT, if I go back to level 3
after doing something else, again the previous Level field is blank. Surely
it should show Previous Level = 2?

But at Level 4if I click Number Style = 1,2,3 I would expect to get 3 gray
1s, but again there are only 2 with no period (11). If I set the Previous
Level to Level 3 I would expect to see a third gray 1 appear, but it still
doesn't. So to get the Preview panel to 1.1.1.1 I have to split the two gray
1s AND put an extra .1.1 in. Without this third gray 1 setting itself by
default , I can't see how the third digit in Heading 4 can increment
properly. So the 4th digit will also be wrong (I do have the Restart From
check box set for the correct levels).

Also, when I go back and check the settings for the different levels (I only
went thru level 4) the Previous Level Number field is always Blank. Assuming
I set it at each Level, I would have thought that it would show up here?

It is normal for the "Previous level" box to appear blank. It shows levels
only when you click the arrow. But if you start with one of the schemes that
already has this all set up (as repeatedly suggested), it should not be
necessary to customize any of this. If you would like to send me a sample
document exhibiting the problem, I'll see what I can do to sort it out.

It looks like I was just trying to use the wrong preset. I was trying to use
the one that had Chapter as the first heading. If I had just chosen the set
that began with Heading 1 instead I would have been OK. I now have chapters
that begin just with a number instead of "Chapter 1" but I can live with that.

A couple of things still concern me tho: how do I get the TOC that someone
else set up to update (it still has chapter 1 as the Introduction and it
isn't any longer) and if I am using Heading 1 as my chapter number, how can I
set up a heading that looks exactly like the chapter heading but is for an
Appendix and is lettered instead of numbered, please?

Can I get these to be "Chapter 1" and "Appendix A" instead of just numbers
and letters please?

Level to Level 3 I would expect to see a third gray 1 appear, but it
still
doesn't. So to get the Preview panel to 1.1.1.1 I have to split the
two
gray
1s AND put an extra .1.1 in. Without this third gray 1 setting
itself by
default , I can't see how the third digit in Heading 4 can increment
properly. So the 4th digit will also be wrong (I do have the Restart
From
check box set for the correct levels).

Also, when I go back and check the settings for the different levels
(I
only
went thru level 4) the Previous Level Number field is always Blank.
Assuming
I set it at each Level, I would have thought that it would show up
here?

I really think the issue is something to do with the Previous

field. At Level 2 I pick 1,2,3 from the Number Style options and
check
the
Restart Numbering after Level box to be after Level 1. Pick
Apply
Changes
to
Whole List option.
Now, I have the number 1, highlighted in gray, in the Number
Format
box,
and
the Previous Level Number box is still blank. The Preview Panel
for
Level
2
also shows a single 1. I leave Restart At field to be 1 for all
levels
(could
be a mistake there, but I doubt it).

Now I am sure I have to put something in the Previous Level
Number
box,
otherwise if it doesn't know the previous level number it won't
know
what
it
has to increment from. So, for the Level 2 setup I'll pick Level
1 as
the
previous level. As of now, it's the only option.

Now it gets a bit interesting. A second 1 has appeared in the
Number
Format
field, both are gray highlighted, and there is no period between
them.
The
Previous Level field is STILL BLANK. So, I'll put a period
between the
two
1s
so I have 1.1
NOw the Previous level Box shows Level 1 and the Preview Panel
shows
1.1

I do the same at Level 3. Previous Level =2, Restart after 2,
Apply to
whole
List, put a period between the two 1s and add another 1 so I
have
1.1.1.

Same for Level 4. Previous level is level 3, Restart numbering
after
level
3, Apply to whole list, Start at 1. Interestingly, even tho I am
now
down
to
level 4, I still only get two 1s in gray in the Number Format
field,
so
this
time I have to split them with a . and add .1.1 so now I have
1.1.1.1
OK,
OK,
apply

So now it looks like this
Chapter 1
1.1
1.1.1
2.1.1
1.2.1.1
2.2.1.1
Chapter 2
1.2
2.2
1.2.1
2.2.1
3.2.1
1.3.1.1

Make any sense, please?
