Product ID Number & PO Numbers
I am using Microsoft Access for the creation of retail invoicing & purchase
order forms. I would like to assign manufacturer style ID numbers to each product, rather than allowing the system to automatically generate numbers for me. I am also looking to override the system generated purchase order numbers in the same way; I would like to assign my own PO numbers. Finally, I would like the product description, along with the product ID numner to print out on the purchase order form, in order to give the manufacturer a more comprehensive, detailed order. I know that these sound like simple questions, but of anyone can assist me with this, I would be most grateful. This is my first time using Access 2003. Please let me know if there is any further information needed to field answers to these questions. Thank you for you help. |

First of all, do not use the Autonumber data type for your fields and you
will not have the system generate numbers for you. Just use Text or Number as needed. I would recommend Text for both fields since you have no control over what type your customers use for PO or ID numbers. You can have the product description print on anything if set up either by adding a field to your PO detail table where the description could be input and/or by adding a table for your items which would include the item ID and the description (along with any other pertinent info). Then your PO detail would have the item ID and then in any queries running reports you would link the Item table to the PO detail by Item ID. I usually set up programs with both these options so that when the Item is chosen for the PO detail, it automatically populates the description field but then it can be edited on the line detail without affecting the Item table.
