Exclamation faxes being sent out again and again

My company is using windows 2000 fax service.
T
he problems is, when multiple faxes are sent out, some receipients receive the fax several time, while others do not receive any. what could have caused this?

And is there a way to keep a record of all the faxes being sent, either if it was successful or failed?

Explain what you mean. Do you mean Windows 2000 Personal Fax?
Do you mean the same fax to multiple recipients?
If so, list the precise steps you are using and the results.

What happen is that the same fax was sent to multiple recipients on a single date, say 1/25/2005. Say there are five companies on the mailing list, (A,B,C,D,E). Each company received the fax on the same day, at different times. Four companies received the same fax again the next day (1/26/2005), and once more on the following day (1/27/2005). The result is, several companies will receive the same fax more than once.

The number of retries was configured to : 3, with 10 minutes between each retries. Days of unsent faxes are kept : 30.

The steps taken in sending the fax are as follows:
1. Convert recipients list from excel to .csv format
2. Upload recipients list (.csv format) to Windows Address Book
3. Open Word document (the document to be faxed)
4. Select print , choose fax
5. Choose recipients/groups list in the address book
6. Fax

Odd. Never been reported. This is Windows 2000 Personal Fax?
Elaborate on step 5. How are you selecting the recipients and how do they
appear in the Send Fax dialog?
Is each fax sent in immediate succession and with no errors?
What is the status of each fax in the Fax Console after the first
transmission?
Have you tried setting the number of retries to 0?

weird huh... its windows 2000 personal fax alright.... i have no idea why it does this.... i've been trying to find the answer through the web but all they gave was how to insatll the fax, not how to troubleshoot it.

on step 5, we have a list of groups, consisting of our client's mailing information, i.e fax number, etc. most of our clients are listed in the same group name. the list was converted from the excel list, as i mentioned before. we just select a group, and the faxes will be sent to the clients who are on the list.

most of the faxes are received at first try, unless the line is busy on the other side, it will try again after 10 minutes. its normal to have retries, but for those faxes which have been sent and received at first try, some of them will also receive a the same fax the second time round. some even receive more then three times.

am i making sense here?...

I've never seen this problem reported, but then I've never seen any Windows
Fax product work reliably for more than three recipients. They really
weren't intended to be a reliable or useful product. Just a free one.
