Is it possible to change the default color for printing comments to yellow
and to include the page number in the comments?

Printing comments in yellow: Not sure why you would want to print
comments in such a light color, but at least in Word 2002 the answer is
yes. You can change font color of the Comment Text style to yellow or
some other color (default is Automatic) in Format | Styles and Formatting.

Page number in comments: I'm guessing you need page numbers because
you're printing the comments in the List of Markups, instead of on the
pages where the comments are inserted? I don't know of a way to make
Word 2002 put the page number with the comment automatically, but if the
author of the comment includes the page number field {PAGE} as part of
the comment, the page number will print with the comment (e.g., Insert |
Comment | type "This is my comment. (p. {PAGE})" ). To make it easier
for authors to include the page number field with their comments, you
can make an Autotext entry for the page number field and any surrounding
text, and maybe a keyboard shortcut to insert the Autotext. Using the
{PAGE} field allows the page numbers in the comments to update
automatically as text gets moved around.

I'm wondering, though, what would happen when all the comments were printed
on a few pages in the list of markup. Would the page number would be page x
for all the comments on that page, or would the page number actually reflect
the page number of the commented material?

Thanks much. We don't want to print comments in yellow - black with yellow
highlighting. Sorry for the confusion.

Have to admit I've never used the List of Markup for anything myself...
one of those things I knew was in Word, but never found a use for. The
page number generated by the {PAGE} field in the comment reflects the
page number where the comment was inserted, not the page number of the
List of Markup. But upon closer inspection this morning of the List of
Markup that I printed last night, I see the page number (along with the
creating author's name and date/time) of the comment is already part of
the List of Markup, so my solution is redundant and I apparently don't
understand the OP's question.

As Suzanne Barnhill gently pointed out this morning, perhaps I don't
understand what you're asking. Am I on the right track towards
answering your question with what I wrote last night? When you say
"include the page number in the comments", do you mean page number where
each comment is inserted, or page number of the list of comments?

Regarding the List of Markup, I hadn't noticed until this morning that
it already includes each listed comment's page number where the comment
is inserted, author, date, and time, so the {PAGE} field I suggested is
redundant and you don't need to do that if you are using the List of
Markup to print the comments. How are you printing the comments?

I'm at the client site now and understanding the problem a little better. When they print out a page with text that has comments, although on the screen the reference to the comment is yellow highlighted, it does not print out with the yellow highlighting. Is there any other way than manually highlighting the references to get them to print with the yellow highlighting?

Also, the page on which the comments prints out is not numbered and the formatting is variable. Any suggestions regarding this problem?

My apologies for not having a better grasp of the problem before posting.

What method did your client use to highlight the comment references?
Are your clients printing to a b/w printer? If so, it's possible that
the comment references *are* printing with the yellow highlight, but the
printer driver is rendering the yellow as white instead of light gray.

The following comments apply to Word 97 (what is your client using?).

I don't know of a way to automatically highlight the comment references
using the highlight tool. But by clicking on Format | Style | Comment
Reference | Format | Borders and Shading | Shading | pick a color,
e.g., yellow, I was able to make all the comment references have a
colored background that resembles highlighting, and they print that way
both in the text and in the list of comments at the end.

I could not reproduce "variable formatting" in the list of comments...
all of my comments were formatted according to my Comment Text style.
The initial paragraph style where a comment was inserted didn't affect
the comment's appearance in the list of comments. After inserting a
comment, reformatting (either manually or with a style) the paragraph or
surrounding text where the comment was inserted didn't affect the
comment's appearance in the list of comments either. If your client's
Comment Text style has "automatically update" enabled, turning it off
might fix this problem.

AFAIK, there's no way to number the pages in the list of comments at the
end of the document.

He selected the text that is yellow highlighted because it's a comment when
viewing the document and yellow highlighted it. No, they are printing to a
color printer. Good thought, though. Word 2002. This sounds like a solution.

Tried this at the client site and it worked wonderfully on screen and in
print preview, but did not print out with any color. Note: they're working
with Word 2000.
