Could it be that the printer is out of yellow ink? In the printer set to print
in b/w or grayscale in Properties?

Not sure what else to tell you. Since everything looks good on screen and in
print preview, that means Word is doing what you want it to. All that's left is
a printer hardware or driver problem.

What method did your client use to highlight the comment references?
Are your clients printing to a b/w printer? If so, it's possible that
the comment references *are* printing with the yellow highlight, but the
printer driver is rendering the yellow as white instead of light gray.

The following comments apply to Word 97 (what is your client using?).

I don't know of a way to automatically highlight the comment references
using the highlight tool. But by clicking on Format | Style | Comment
Reference | Format | Borders and Shading | Shading | pick a color,
e.g., yellow, I was able to make all the comment references have a
colored background that resembles highlighting, and they print that way
both in the text and in the list of comments at the end.

I could not reproduce "variable formatting" in the list of comments...
all of my comments were formatted according to my Comment Text style.
The initial paragraph style where a comment was inserted didn't affect
the comment's appearance in the list of comments. After inserting a
comment, reformatting (either manually or with a style) the paragraph or
surrounding text where the comment was inserted didn't affect the
comment's appearance in the list of comments either. If your client's
Comment Text style has "automatically update" enabled, turning it off
might fix this problem.

AFAIK, there's no way to number the pages in the list of comments at the
end of the document.

I'm at the client site now and understanding the problem a little

better. When they print out a page with text that has comments, although on
the screen the reference to the comment is yellow highlighted, it does not
print out with the yellow highlighting. Is there any other way than manually
highlighting the references to get them to print with the yellow
highlighting?

Also, the page on which the comments prints out is not numbered and the

formatting is variable. Any suggestions regarding this problem?

My apologies for not having a better grasp of the problem before

I'll check suggested printer settings and condition.

I just tried this on my computer (MSOP 2003) and it worked fine with the
exception that the shading of the comments is pink and I can't find where to
change it to yellow. Do you know if this is possible? I checked Comments
Text, Reference, and Subject and set them all to yellow, but this must not
apply to the same style that's displayed.

The Comment Reference style is not normally displayed in the Word 2003
Styles and Formatting task pane, even when you tell it to show "All
styles". Instead, tell it to show "Custom" styles, and check the box
next to the Comment Reference style. Then you'll be able to modify the
style.

I did this and when it shows up in the list of styles, it's yellow
highlighted. However, the reference and comments are highlighted in pink
instead.

Success! Finally. The issue was changing from Default Paragraph Font to
(underlying properties) in the Comment Reference style. This was a tough
one, for sure.

Thanks to all contributors.
